Poland Entry Formalities
Passports & IDs
A passport valid for at least three months beyond the planned date of departure from the Schengen area, and issued within the past 10 years, is required by all nationals except EU/EEA and Swiss citizens holding a valid national ID card.
Poland is a member of the Schengen Area. A 90-day Schengen visa allows you to visit all Schengen countries, but your stay cannot exceed 90 days within any 180-day period. Once your allowed time is up, you must leave the Schengen zone. Third-country nationals must have a valid travel document and a visa (if required) or an approved travel authorization to enter the territory of a Schengen State.
Visa & ETIAS Requirements
Within the Schengen Area borders, visas are not required for internal travel. EU nationals may stay for an unlimited period but must register with local authorities if staying longer than three months.
Visa-exempt non-EU nationals (including citizens of Australia, Canada, the UK, and the USA) may stay in Poland without a visa for up to 90 days within a 180-day period.
Important: Travelers from visa-exempt countries are required to possess a valid ETIAS (European Travel Information and Authorisation System) authorization before traveling to the Schengen Area.

How to Obtain a Polish Visa
If a visa is required, applicants must book an appointment online at the closest Polish consulate or embassy in their country of residence via the e-Konsulat system (https://secure.e-konsulat.gov.pl/). All visa applicants aged 12 and over must submit biometric data at their visa appointment.

Invitation Letter
A simple invitation letter can be downloaded during the registration process (an electronic form with no signature endorsement).
In the event a prospective Participant requires a more complex invitation, the organizers will be pleased to send an official invitation letter to any conference delegate, exhibitor, or speaker requesting it. The letter of invitation is not a commitment on the part of the conference organizers to provide any financial support to delegates, and the conference fees will not be waived; it may simply be used by delegates to help raise funds or for visa applications.
The letter will be sent by regular post or via email. Please note that you will be required to register for the conference and make your payment before the standard invitation letter can be prepared.
For Authors
All that is needed is to send us an email requesting the invitation at spsympo2027@ise.pw.edu.pl. Please include your paper’s title and your ID number in the ConfTool system (e.g., ID 1040) in your message. Only registration (no payment) is necessary at this stage for authors.
